Permit Services Coordinator, Village of Westchester, IL

Position Overview

The Village is seeking a dedicated and detail-oriented Building Department Permit Services Coordinator to join our Community Development Department/Building Department team. This position is responsible for assisting residents, contractors, architects, and engineers in obtaining permits and ensuring compliance with building codes and regulations. Primary tasks will involve processing permit applications, coordinating with various disciplines for approvals, scheduling inspections, and providing essential information to the public. The Permit Services Coordinator will report to the Director of Community Development and may receive additional guidance from the Building Inspector.


Key Responsibilities

  • Process and review permit applications, ensuring accuracy and completeness, and inputting data into the permitting software.

  • Facilitate the routing of applications to relevant disciplines and follow up to secure approvals and issue permits.

  • Provide information and assistance to applicants in person, over the phone, and through written correspondence.

  • Schedule inspections in adherence to specified restrictions and disciplines.

  • Maintain accurate contractor information to ensure only qualified individuals are issued permits.

  • Answer inquiries from the public and Village staff regarding department functions and respond appropriately.

  • Handle general administrative tasks, including composing letters, managing mail, and scheduling appointments.

  • Assist the public in completing applications and forms related to building ordinances and codes.


Minimum Qualifications

  • High school diploma or GED Certificate.

  • 2 years of customer service experience, including high-volume customer interactions and basic funds accounting.

  • General familiarity and experience with personal computers and related peripheral equipment.

  • Knowledge of modern office practices and procedures, construction permits, building plans, codes, and ordinances.

  • Proficiency in using computer software applications, including word-processing and spreadsheets.


Skills and Abilities

  • Quick learner with the ability to understand and apply departmental policies and procedures, building codes, and ordinances.

  • Excellent communication skills, both verbal and written.

  • Strong organizational skills and attention to detail.

  • Proficient in using Microsoft Office Suite and modern office equipment.

  • Ability to establish and maintain effective working relationships with customers and colleagues.

  • Capacity to manage multiple priorities, project demands, and deadlines effectively.

  • Demonstrated composure and problem-solving skills in challenging situations.

  • Ability to perform accurate arithmetic calculations.

  • Prior ability of reading construction blueprints preferred.


Hours and Compensation

This is a full-time, on-site position with working hours from 8:00 a.m. to 4:30 p.m., Monday through Friday. The hiring range for this position is $19.50 to $22.00 per hour depending on prior experience, along with an excellent benefits package, including comprehensive medical, dental, and vision coverage, 11 paid holidays, deferred compensation plans, and participation in the Illinois Municipal Retirement Fund (IMRF) pension plan.
